Getting Started
Log in to your dashboard and click either the "Add Vehicle" button (for automotive fleets) or the "Add Machine" button (for construction, marine, or agriculture fleets). Since QRFleet automatically configures your workspace during registration, your metrics are already set up. If you registered an automotive fleet, you will track odometer readings. If you registered a construction, marine, or agriculture business, you will track engine hours. Just fill in the basic details (such as name, make, and the current reading) and click "Save". Your asset is now active and ready for QR generation.
Once you add an asset, QRFleet automatically generates a unique QR code for it. You can download individual QR codes directly from the asset page, or select multiple vehicles in your fleet list and export them as a high-quality PDF ready for printing.
You can print your QR codes using any standard office printer, thermal label printer (like Brother or Dymo), or order them through online sticker printing services. For heavy construction machinery, tractors, or boats, we highly recommend printing on waterproof, laminated vinyl adhesive sheets to ensure they withstand dirt, water, and UV rays.
Daily Operations & Scanning
No. There is absolutely nothing to download or install from the App Store or Google Play. Your operators simply scan the physical QR code using their default smartphone camera. This opens a secure, lightweight web page where they can instantly enter the odometer or engine hour reading.
QRFleet has built-in validation to prevent basic data errors. The system will not allow an operator to submit a reading that is lower than the last recorded value. If a driver makes a typo and submits a higher number by mistake, you can easily correct it. Just have them scan the QR code again and submit the correct, updated reading: it is that simple.
On the Starter plan, your entire fleet is locked to a single metric based on your selected industry (for example, mileage for automotive, or engine hours for construction). If you operate a mixed or hybrid fleet and need to track mileage for some assets and engine hours for others, upgrade to the Growth plan to choose the primary metric per individual asset.
The mobile entry page is extremely lightweight and designed to load fast even on weak 3G or Edge connections. If a driver is in a remote area with zero signal, we recommend writing down the physical gauge numbers and scanning/submitting them once they return to cellular coverage.
Subscriptions & Billing
If you reach the limit of your current plan (e.g., 7 assets on the Starter plan), you will not be able to add new vehicles until you upgrade to a higher plan. If you sell or retire a vehicle, you can simply delete it from your dashboard to instantly free up a slot for a new asset.
Yes, you can change your billing cycle at any time from your account settings. Switching to an annual plan locks in a discount of up to 20% compared to monthly billing.
You can cancel your paid plan at any time directly from the billing section of your dashboard. There are no cancellation fees, no contracts, and no questions asked. Your account will remain active until the end of your current paid billing period.
